Nonprofit Cost Auditor

Sample report

This is the skill's output, unedited, for a fictional food pantry's 12-month QuickBooks export. The organization and its expenses are made up; the programs, prices and check dates come from our library.

Fictional organization. Where our library records a vendor's list price, the sample charges use it. Download the sample expense file (CSV) to try the skill yourself, or to see the export format that works best.

Prepared 2026-10-30 with the Nonprofit Cost Auditor. Expense file: 122 rows, 2025-11-03 to 2026-10-20 (12 months). Discount library: 81 programs, latest check 2026-10-21.

This is an estimate to help you decide what to check, not a certified audit, accounting advice or a promise of savings. Every vendor decides its own eligibility and prices. Check each program's page before you act.

Executive summary

  • Yearly spend reviewed: $10,222 across 13 vendors.
  • Possible yearly savings: $4,172 (40.8% of spend): $0 verified and $4,172 conditional.
  • First-year net, after estimated switching time: $3,612 (switching estimated at $560, staff time at $35/hour).

Worth investigating (not counted)

Not in our library. Ask each vendor whether it has nonprofit pricing (largest first):

  • Church Mutual Insurance: about $2,480/yr (quarterly, insurance)
  • Verizon Wireless: about $2,220/yr (monthly, telecom)
  • Staples: about $441/yr (irregular, office-supplies)
  • Uline: about $212/yr (single charge, office-supplies)

Possible overlapping subscriptions (not counted)

These vendors seem to do the same job. If you only need one, cancelling the other saves its cost. Don't also count a discount on the one you drop.

  • email marketing: Mailchimp Marketing plans, Constant Contact email marketing (together about $384/yr)

Possible duplicate charges (not counted)

  • Zoom Video Communications: $16.99 twice on 2026-06-08 (rows 81 and 82). Check the statement; ask for a refund if it was billed twice.

Nothing has been bought, cancelled or changed. I'll only help with those steps when you ask.

Data issues

  • Row 62: No vendor or payee (amount 42.00). Left out of the audit.
  • Row 71: Amazon: amount 'N/A' isn't a number. Left out of the audit.
  • Row 129: Uline: date '13/45/2026' couldn't be read. Kept, but it can't show a billing pattern.

Assumptions

  • Yearly cost per vendor comes from the charges in your file (the method is listed under each item). Refunds net against charges.
  • Switching time is estimated at $35/hour of staff time, using the library's hour estimates.
  • Library prices older than 120 days, or not fully confirmed from official sources, are marked conditional.
  • Each vendor is counted once. Overlaps and duplicate charges are listed but never added to the total.
  • No legal or tax conclusions. Ask your CPA or attorney about eligibility questions.

Want someone to do the switching with you? NonProfitSaver's Implementation Roadmap validates these savings and plans each switch: https://nonprofitsaver.com/implementation-roadmap?ref=cost-auditor

Why is everything "conditional"? Most programs have a condition to confirm, such as a new subscription through TechSoup or a free edition with limits, so the report says so instead of rounding up to "verified".
