Methodology

How we calculate savings

Sources

We record nonprofit pricing only from vendor websites and authorized nonprofit programs such as TechSoup, Google for Nonprofits, and Microsoft's nonprofit offers. Each listing links to its sources and shows the date it was last verified.

Freshness

Pricing older than 120 days is automatically downgraded from "verified" to "conditional" and flagged for re-verification.

The calculation

  • Current annual cost = what you entered, multiplied by 12 if monthly.
  • Nonprofit annual cost = the program's published price: free, a flat annual fee, a percentage discount on what you pay, or a per-user price times your user count.
  • Annual savings = current cost minus nonprofit cost, never below zero.
  • Switching cost = the program's known one-time fees plus estimated staff hours at $35/hour. Hours are estimates.
  • First-year savings = annual savings minus switching cost.

Labels

  • Verified: high-confidence, current pricing; no known conditions beyond standard eligibility; you said you don't already get nonprofit pricing.
  • Conditional: savings depend on eligibility nuance, a plan change, a new account, a seat cap, partially confirmed pricing, or your uncertainty about current pricing.
  • Worth investigating: negotiable vendors, unverified programs, and anything not yet in our database. Never counted in totals.

Service benchmarks

Some costs aren't software, such as social media posting or bookkeeping and finance operations. There's no published nonprofit price to compare against, so we compare what you pay with a NonProfitSaver benchmark: what we've found these services cost today.

  • Social media posting: about $499/month for a managed ai social media posting agent. Includes drafting posts from your calendar, newsletters, and events; scheduling and publishing across your social accounts; monthly setup review and adjustments. Benchmark set 2026-10-18.
  • Bookkeeping & finance operations: about $2,500/month for an outsourced nonprofit finance operations package (organizations up to $1.5M in annual budget). Includes monthly bookkeeping and reconciliations; payroll processing; minister housing allowance administration (churches); check receiving, deposits, and contribution entry; year-end donor giving statements. Benchmark set 2026-10-18.

Benchmark savings are always labeled conditional, count toward your potential savings, and are listed separately. They're not counted toward the Implementation Roadmap fee. NonProfitSaver offers both services (social media posting agent, finance operations), so we have a financial interest. Get independent quotes before you decide.

What estimates are not

They're not guarantees, quotes, or legal or tax advice. Vendors decide eligibility and can change programs at any time. Compliance-related items (for example, ministerial housing allowance administration) are risk-reduction reviews, not savings, and should be confirmed with a qualified professional.
