Google Workspace for Nonprofits: Is the Free Edition Enough?
$0 applies only if the org can live with the free edition: 100 TB storage pooled across the whole org, 150-person Meet with no recording, standard support. Orgs that rely on Meet recording or Business Standard/Plus features should compare against the discounted Business Standard ($3.50/user/month annual = $42/user/yr; 75% off the $14 list) or Business Plus ($6.16/user/month annual). Founder's example: 7 seats on Business Standard at nonprofit price = $294/yr; on the free edition = $0.

Standard vs. nonprofit pricing
| Plan | Type | Price | Source |
|---|---|---|---|
| Business Starter List price per user/month as shown on Google pricing page on 2026-10-17; page says 'All plans billed monthly' and showed the same figure under annual and monthly headings. 30 GB pooled storage per user. A temporary intro promo ($4.90, Oct 31 2026-Jan 31 2027) was also displayed; ignore for savings math. annualUsd = 7 x 12. | Standard | $7/user/mo | Official |
| Business Standard List price per user/month; 2 TB pooled storage per user. Third-party sources report a higher Flexible (month-to-month) rate of $16.80 that could not be confirmed on Google's page. | Standard | $14/user/mo | Official |
| Business Plus List price per user/month; 5 TB pooled storage per user. | Standard | $22/user/mo | Official |

Is Google Workspace free for nonprofits?
Yes. Eligible nonprofits can use Google Workspace for Nonprofits at $0 for up to 2,000 users, as of October 2026. The real question for most small organizations isn't whether it's free, but whether the free edition does everything you currently pay for.
What the discount actually covers
The free edition includes custom-domain Gmail, Drive, Docs, Calendar, 150-participant Meet calls, and admin and security controls. Three differences from paid plans matter most:
- Storage is pooled. You get 100 TB for the whole organization rather than a per-user allowance. For most small teams that is far more than enough. It only becomes a constraint if you store large video archives.
- No Meet recording. Google lists recording from Business Standard upward. If you record board meetings, trainings, or webinars, you either need a paid nonprofit edition for the people who host them or another recording tool.
- Standard support only.
If you need any of those, the paid nonprofit editions are still deeply discounted: Business Standard is $3.50 per user per month on a 1-year commitment ($4.20 billed monthly), against a $14 list price. That is 75% off.
Worked example
A seven-person nonprofit pays for Business Standard at list price.
- Current cost: 7 users × $14 × 12 months = $1,176 per year
- Free nonprofit edition: $0, a saving of $1,176
- Nonprofit Business Standard (if they need recording): 7 × $3.50 × 12 = $294, a saving of $1,176 − $294 = $882 per year
The same team on Business Starter at list ($7) pays 7 × $7 × 12 = $588 a year; the free edition saves all of it. A team that pays for Business Plus at $22 would pay 7 × $6.16 × 12 = $517.44 on the nonprofit Business Plus plan, saving $1,848 − $517.44 = $1,330.56.
The free edition also includes Meet. If you also pay for a separate video tool, check whether Meet's 150-participant limit covers your meetings; see the Zoom page for that comparison. The free audit checks for this kind of overlap automatically.
The outgrow test
Stay on the free edition unless one of these is true:
- Someone regularly needs to record Meet calls.
- You need meetings larger than 150 participants (Business Plus nonprofit supports 500).
- Your organization's total storage is approaching 100 TB.
- You need support beyond standard.
If none apply, paying for a Business edition is mostly paying for features you don't use.
Who should and shouldn't switch
Switch if you are a verified 501(c)(3) paying commercial Workspace rates. The change happens in your existing account, so there is little switching cost.
Don't expect approval if you are a government entity, a hospital or healthcare organization, a school or university, or a fiscally sponsored project without its own 501(c)(3) status. Google excludes these, although charitable arms of hospitals and schools may apply. Verification runs through Goodstack, not TechSoup; older guides that send you to TechSoup are outdated.

Church eligibility
Google's eligibility rules require IRS registration as a 501(c)(3), or a chapter in a group exemption with proven affiliation to a 501(c)(3) central organization. Churches are exempt automatically under IRS rules and many never request a determination letter. A church in that position may be able to qualify through its denomination's group exemption. See church eligibility for nonprofit discounts, and confirm your status with your denomination or a CPA.

Frequently asked questions
Is Google Workspace free for nonprofits?
Yes, for eligible organizations. Google Workspace for Nonprofits costs $0 for up to 2,000 users, as of October 2026. Paid nonprofit editions (Business Standard at $3.50 and Business Plus at $6.16 per user per month on a 1-year commitment) add per-user storage and Meet recording.
How much storage does the free nonprofit edition include?
100 TB shared across the whole organization, not per user. Business Standard (nonprofit) includes 2 TB per user and Business Plus 5 TB per user.
Can Google Meet record on the free nonprofit edition?
Google lists recording only from Business Standard upward. The free edition supports 150-participant meetings without recording.
Is Google Workspace free for churches?
Google requires the organization to be registered with the IRS as a 501(c)(3). Churches are tax-exempt automatically, but if your church has no IRS determination letter and is not covered by a group exemption, verification may fail. Check before you plan around it.
Do I have to migrate my email to get the nonprofit price?
No. After verification, an existing paid Workspace account can be switched to a nonprofit edition in place, with no mailbox or Drive migration.
