TechSoup Admin Fees: Is TechSoup Worth It?

By Mike Krieg · Updated October 18, 2026

TechSoup is free to join, and you pay an admin fee only for the products you request. For a few programs that fee is a small fraction of the vendor's regular price: QuickBooks Online Plus costs an $80 annual admin fee through TechSoup against Intuit's $140 monthly list price. For many other tools you don't need TechSoup at all, because the vendor runs its own nonprofit program and going direct costs less or the same.

This guide shows every program in our database that currently runs through TechSoup with an admin fee, what you save after the fee, and the conditions that come with each one. Prices are as of October 2026.

How TechSoup membership and validation work

You sign up at techsoup.org and add your organization to your account. TechSoup then reviews it and emails you about its status. Once TechSoup has "verified your organization's information and nonprofit status," your organization is validated, also called qualified.

Validation is not the same as eligibility. TechSoup says validation "does not mean they are eligible for every nonprofit program." Each vendor sets its own rules, which can depend on size, budget, location or cause.

Membership itself has two tiers on TechSoup's membership page:

  • TechSoup Core: no cost. It includes access to TechSoup's donations and discounts.
  • TechSoup Plus: $200 a year. It adds a personalized tech audit, webinars and consultations, courses, "$0 or reduced fees on select products and services," and a $25 promo code for a future request. The page doesn't list which products get reduced fees.

You don't need Plus to get any product in the table below. Plus pays for itself on fees only if the reduced fees on your products add up to more than $200, and TechSoup doesn't publish that list.

After you order, requests are "typically fulfilled within three business days from when payment is received," and TechSoup notes that "most programs have a strict no refunds or exchanges policy." Read the offer details before you check out.

What the admin fee is

TechSoup is a 501(c)(3) nonprofit. Its admin fee article says the fees "contribute to the overall cost of TechSoup's operations," including developing programs, confirming eligibility and fulfilling requests, and that they help fund its free educational resources.

The fee works two ways depending on the program:

  • Donated subscription. The admin fee is the whole price. QuickBooks Online is the main example. TechSoup's QuickBooks fee article says it charges an admin fee only for the original subscription and the annual renewal, and that "there are no additional fees charged by Intuit."
  • Access to discounted rates. You pay TechSoup a small fee for a coupon or offer, then pay the vendor its discounted price. BILL, Adobe Creative Cloud and Wix work this way.

TechSoup admin fee vs regular price

These are every program in our discount directory delivered through TechSoup with an admin fee, as of October 2026. "Checked" is the date we read the source. Net saving is the first-year regular price minus the TechSoup cost, with the arithmetic in the notes below.

Program Through TechSoup Regular price Net saving, year one Checked Sources
QuickBooks Online Plus (5 users) $80/year admin fee $140/month ($1,680/year) $1,600 2026-10-18 (TechSoup), 2026-10-17 (Intuit) TechSoup, Intuit
QuickBooks Online Advanced (25 users) $170/year admin fee $340/month ($4,080/year) $3,910 2026-10-18 (TechSoup), 2026-10-17 (Intuit) TechSoup, Intuit
BILL Essentials, 1 user $71 admin fee + 40% off for 12 months ($29.40/user/month) $49/user/month ($588/year) $164.20 2026-10-18 (TechSoup), 2026-10-17 (BILL) TechSoup, BILL
Adobe Creative Cloud Pro, individual $5 admin fee + at least 49% off $69.99/month At least $406.54 (computed) 2026-10-17 TechSoup, Adobe
Wix Premium Core / Business / Business Elite $34 / $49 / $119 admin fee + 70% off a 2-year plan Not verified in USD Not calculated 2026-10-17 TechSoup, Wix Help
Wix Studio $82 admin fee + 30% off a 2-year plan Not verified in USD Not calculated 2026-10-17 TechSoup

How the numbers work:

  • QuickBooks Plus: $140 × 12 = $1,680; $1,680 − $80 = $1,600. Advanced: $340 × 12 = $4,080; $4,080 − $170 = $3,910. Intuit's prices are its non-promotional list prices.
  • BILL Essentials: 40% of $49 is $19.60 a month off; $19.60 × 12 = $235.20; minus the $71 fee is $164.20. Team ($65) and Corporate ($89) save more per user. Transaction fees aren't discounted, and the discount ends after 12 months.
  • Adobe: 49% of $69.99 is about $34.30 a month; × 12 = $411.54; minus $5 is $406.54. Adobe's page doesn't label whether $69.99 is a monthly or annual-commitment rate, and TechSoup gives a minimum percentage, not a dollar price.
  • Wix: the plan pages we fetched showed regional prices, so we don't have confirmed US prices to compute a dollar saving.

A real example: QuickBooks at Storyline Missions

Storyline Missions, the ministry run by NonProfitSaver's founder Mike Krieg, was paying about $125 a month for commercial QuickBooks Online. Against the $80 TechSoup admin fee:

$125 × 12 = $1,500 a year; $1,500 − $80 = $1,420 a year.

That is lower than the $1,600 in the table because the ministry's existing plan price is below Intuit's current list price. Use your own invoice, not the list price, when you work out your saving. The free audit does that arithmetic for each tool you pay for.

The catch

Each TechSoup offer has conditions. These come from the offer pages and our records:

  • QuickBooks needs a new subscription. TechSoup's QuickBooks page says organizations "are not able to apply the QuickBooks Online offer to an existing account." You create a new company and move your data in. See the QuickBooks migration guide.
  • Payroll is excluded. "Add-on services such as Payroll are not available through TechSoup." Payroll stays billed by Intuit, so if your current bill includes payroll, that part doesn't go away.
  • One QuickBooks donation per lifetime. Intuit allows "one donated QuickBooks Online subscription in their lifetime." Pick Plus or Advanced carefully.
  • Renewals are annual. The QuickBooks fee repeats every year.
  • BILL lasts 12 months and appears to be for new users. TechSoup's support material describes it as for new users, and after 12 months you pay BILL's regular rate.
  • Adobe is for new memberships only. Current Creative Cloud members can't use it.
  • Wix is for sites not already on Premium, one coupon every two years, renewing at the standard rate after the two-year term.

When going direct is cheaper

Several big vendors don't use TechSoup for their nonprofit programs, and many older articles still say they do. As of October 2026, our records show:

For these, a TechSoup account adds nothing to the price. Hootsuite is a middle case: its HootGiving page lets you apply directly or through TechSoup. Zoho accepts a TechSoup validation token or a direct document upload. The full route map is in TechSoup alternatives.

So, is TechSoup worth it?

For QuickBooks Online, yes for most organizations: no other route in our records gets QuickBooks to $80 a year. For BILL, Adobe Creative Cloud and Wix, the admin fee is small next to the discount, but each saving is limited to new customers or a fixed term. For Google, Microsoft and Canva, skip TechSoup and apply with the vendor. Core membership is free, so registering costs nothing; TechSoup Plus at $200 a year is worth it only if you'll use its audit and courses.

How we label and total savings is explained in our methodology.

Frequently asked questions

Is TechSoup free to join?

Yes. TechSoup's membership page lists TechSoup Core at no cost, with access to its donations and discounts. TechSoup Plus is an optional $200-a-year tier with extras such as a tech audit and reduced fees on select products. The admin fee is charged per product you request.

What is a TechSoup admin fee?

It is the amount TechSoup charges for a donated or discounted product instead of the vendor's price. TechSoup, itself a 501(c)(3), says the fees cover its operations, eligibility checks and fulfillment. For QuickBooks Online Plus the fee is $80 a year as of October 2026.

Is TechSoup worth it for QuickBooks?

For most small nonprofits, yes. Intuit's list price for QuickBooks Online Plus is $140 a month, or $1,680 a year, against an $80 annual TechSoup fee. The catch is that you must start a new subscription, and payroll is not included.

Do I need TechSoup for Google, Microsoft or Canva?

No. Google, Microsoft and Canva run their own nonprofit programs. Google Workspace for Nonprofits and Canva for Nonprofits are free, and Microsoft 365 Business Basic is free for up to 300 users, all applied for directly with the vendor.
